Registration Terms and Policies

AIM Wellness Community Learning Academy

Please read these terms before registering to our workshops. By completing registration, you confirm that you have read, understood, and agree to them.

1. What this program is

The AIM Wellness Community Learning Academy provides general education, practical tools, and peer connection in a facilitated group setting.

It is not therapy, counseling, psychiatric care, or a clinical support group. Registering for and attending a workshop:

  • does not create a provider-patient or therapist-client relationship with AIM Wellness LLC or any of its staff

  • does not constitute diagnosis, treatment, or clinical advice for you or any member of your family

  • is not billed to insurance and generates no medical record or protected health information

  • does not entitle you to clinical services, records, or documentation from AIM Wellness

Facilitators do not diagnose, do not advise on medication, and do not comment on any individual child’s condition or care. Questions about diagnosis, medication, safety, or treatment should be directed to a licensed professional. If you would like a referral, we are glad to help.

Workshop content is general in nature and may not apply to your situation. Nothing shared in a workshop is a substitute for medical, mental health, educational, or legal advice.

2. Emergencies and crisis

Workshops are not a crisis service and are not monitored outside session hours.

If you or someone in your family is in immediate danger, call 911. For mental health crisis support at any time, call or text 988 (Suicide and Crisis Lifeline).

3. Limits on what stays private

Our facilitators are required by Maryland law to report suspected child abuse or neglect to the appropriate authorities. If information shared in a workshop raises such a concern, a report will be made. This obligation applies regardless of the group’s confidentiality agreement.

We may also act, including by contacting emergency services, if we believe someone is at imminent risk of serious harm.

4. Confidentiality is a group agreement, not a legal protection

In the first session, all participants agree that what is shared in the room stays in the room. We take this seriously and we expect everyone to honor it.

Please understand what this agreement is and is not. It is a commitment among participants. It is not the legal confidentiality or privilege that applies in therapy, and it is not protected by HIPAA. AIM Wellness cannot guarantee that another participant will keep what you share private.

Share what feels comfortable to you. There is never any obligation to disclose anything about yourself or your family.

Recording sessions, whether audio, video, or photo, is not permitted.

5. Payment

Full payment is due at registration to reserve your seat. Seats are limited and are confirmed in the order payment is received.

Registration includes all sessions in the series and your take-home workbook. Prices are in U.S. dollars.

Reduced-rate seats are available for every cohort. If cost is a barrier, please email us. No documentation or explanation is required, and your seat and your experience will be identical to everyone else’s.

6. Cancellations and refunds

All cancellation requests must be submitted by email to info@aimwellnessllc.com. We cannot process cancellations by phone, text, or social media, because we need a written record with a date.

Refunds are issued to the original payment method and typically appear within 5 to 10 business days.

Missed sessions are not refundable and are not pro-rated. If you miss a session, contact us. We will get you the materials and can usually offer a short catch-up conversation.

7. If we cancel or change the workshop

Workshops require a minimum enrollment to run. If we cancel a workshop for any reason, you will receive a full refund or the option to transfer to a future cohort, at your choice.

If a session must be rescheduled due to weather, illness, or another unavoidable circumstance, we will offer a make-up date. A rescheduled session is not grounds for a refund.

We reserve the right to substitute facilitators.

8. Who can attend

Participants must be 18 or older. Workshops are for parents, guardians, and caregivers. Children may not attend, and childcare is not provided at the session location.

Your registration is for the participant or participants named at checkout and may not be transferred to another person without our agreement.

9. Participation and Conduct

We ask everyone to help keep the room a place where people feel safe being honest. Please arrive on time, respect the group agreements, allow space for others to speak, and treat every participant with respect.

We reserve the right to ask a participant to leave, without refund, if their conduct is disruptive, harassing, or unsafe for others in the group. We expect never to need this.

Participation in discussion is always voluntary. You are welcome to listen.

10. Photos and Media

We sometimes photograph sessions for promotional use. Consent is requested separately at registration and is entirely optional. Declining changes nothing about your participation, and we will not photograph you.

11. Materials

Workbooks and handouts are provided for your personal use. They remain the intellectual property of AIM Wellness LLC and may not be reproduced, distributed, or sold.

12. Your Information

Information you provide at registration is used to run the workshop and to contact you about it. It is kept separately from AIM’s clinical records and is not added to any medical record. We do not sell participant information.

13. Assumption of risk

Workshops involve discussion of personal and sometimes difficult subjects. You participate voluntarily and at your own discretion. AIM Wellness LLC is not liable for decisions you make or actions you take based on workshop content.
